Smiley Club Activities – Terms & Conditions

Rules for attendance

General conditions for all Smiley Club activities:

By accepting the terms and conditions of the booking/application you are agreeing to the following. You cannot proceed with your booking/application online or by telephone unless you accept the below conditions so, please familiarise yourself with the terms of the booking/application.

Applications & paperwork

  • For Summer camps, all participants must be 6 years or older and be attending primary school.
  • When registering for a place on a camp/activity you are declaring to be the parent/guardian of the listed children on the  application. You are agreeing to the terms and conditions outlined below.
  • Payment is regarded as acceptance of the registration conditions.
  • Any participant whose conduct is deemed by our staff or volunteers to be detrimental to the best interest of the event/activity will be dismissed – no refund will be made. Children must comply with all safety requests by staff / volunteers.
  • The discount for booking more than one child only applies to siblings in the same family.
  • All application forms should be completed with sufficient detail. Any information provided is used to insure the safety of all in attendance and that staff & volunteers are able to provide sufficient supports for all participants to engage successfully with the activity. Any information requested is not intended to exclude a child in anyway, but to insure they have all the supports they need to engage successfully with the activity/event. Please be as honest and detailed with your information to allow us to ensure your child’s safe inclusion.
  • Cancellations made by the customer up to 7 days in advance of the camp start date will be entitled to a refund of camp fee balance. A €20 deposit fee per child is non-refundable and non-transferable unless the camp is cancelled by CDA.
  • The number of applications we can accept are limited to ensure the safety and welfare of all children and volunteers.
  • Due to the limit on camp places and the anticipated high demand, any cancellations made within 7 days of the camp start date will not be entitled to a refund
  • In the event of overbooking the Smiley Club will endeavour to offer an alternative – either refund/credit note or alternative activity attendance.

Cancellation/changes

  • CDA’s Smiley Club reserve the right to cancel a camp, or change camp dates in the event of unforeseen circumstances and will not be held accountable or liable should activities be suspended or cancelled due to adverse weather or other events beyond our control including (but not limited to) war, strike, riot, crime, plague, hurricane, flood, earthquake, pandemic or volcanic eruption.
  • If, in the opinion of the Co-ordinator, there is reason, the activity may be curtailed or cancelled at short notice. The activities are operated and organised with Foroige Limited, strictly on the basis that there are sufficient competent volunteers and supervisors.  CDA and Foroige Limited do not accept responsibility or liability arising as a result of inadequate adult supervision.
  • CDA reserve the right to modify our programme of activities in the event of unforeseen circumstances.
  • The number of summer camps volunteer leaders is currently quite limited. If there are safety concerns, refunds will be made or place not allocated.

Health & Safety

  • CDA shall not be responsible for any children left unsupervised at our venue 15 minutes prior to or after activity/camp time.
  • Permission will be requested to seek medical treatment in the event of an accident.
  • All medications, medical or health information should be outlined in as much detail as needed before a child can participate in activities. This information is collected not to exclude the child in anyway, but to insure that the programme is as inclusive as possible and all staff and volunteers are able to provide the most appropriate supports to that child, allowing them participate successfully as part of the group in that activity.
  • Activities will operate to the highest safety standards; CDA/Foroige shall not be responsible for any illness, death or accident unless occasioned by the proven negligence on the part of the staff or volunteers.
  • CDA/Foroige operate the activities with health and safety key to the operation of these events. CDA/Foroige has full public liability cover for all activities undertaken. Personal Accident Insurance against injury, accident, or loss whilst on camp is your responsibility. In the event of an injury or accident involving the child/children you have booked onto the camp you accept that CDA/Foroige will not be liable for any direct or indirect loss, damage or injury arising from or associated with their participation in the activities offered by CDA/Foroige, including Smiley Club, and hereby waiver all and any claims against CDA/Foroige in this regard in relation to the child /children you have booked onto activities/camp.
  • The number of summer camps volunteer leaders is currently quite limited. If there are safety concerns, refunds will be made or place not allocated. The number of applications we can accept are limited to ensure the safety and welfare of all children and volunteers.
  • The payment of a medical charge by CDA/Foroige on behalf of any participant on an activity at any hospital shall be made without prejudice and cannot be taken as an admission of liability of Foroige Limited or CDA in respect of any incident whatsoever. Any payments made to Doctors or payments made for any other medical purposes are similarly without prejudice and without admission of liability. 
  • If a child’s behaviour is at risk of causing physical or emotional harm to themselves, or other children, CDA has the right to call parents to come and collect their child. And that the staff will reserve the right to allow them back for the duration of the camp. 
  • If you cannot personally collect your child(ren) after the activity, please notify Susan O Callaghan directly to make alternative arrangements for who will collect them.

If someone is displaying symptoms of Covid-19: 

  • Anyone displaying symptoms of Covid-19 prior to activity or outside of activity hours should not attend Smiley Club activities. If a staff member or child at an activity is displaying symptoms, our staff will follow our robust procedure to ensure the safe isolation of the individual until it is possible for them to go home. Masks will be provided on site for any person who is displaying symptoms. Those affected will be advised to phone their GP and follow their GP’s medical guidance.

Communication

  • CDA shall have no liability for participating parents/guardians failure to receive information due to spam, junk email or other security settings or parents/guardians provision of incorrect or otherwise non-functioning contact information.
  • Please make sure that your mobile phone is on during the hours of the activities, in case you need to be contacted.

Loss of Property

  • We cannot guarantee that any lost property will be returned to you, so please make sure when leaving that you bring everything with you.
  • Mobile phones are not recommended at activities. If the presence of a mobile phone is causing disruption or harm to other children it will be confiscated and returned to parents on collection.
  • We recommend that children leave any valuables at home.

Conditions of participation:

Participating children must abide by activity/event rules as outlined below:

  • Participating children must adhere to all measures that have been put in place by CDA in relation to Covid-19.
  • Parents/guardians should not enter a camp venue during the day. You must arrange this via phone call to our office.
  • Participating children must treat other children /staff/ volunteers with RESPECT.
  • Participating children must listen to and follow directions given to them by all staff & volunteers.
  • Volunteers and staff give directions to keep participants happy and safe and all these directions must be followed.
  • Participating children shall not intentionally cause or attempt to cause physical or emotional harm to another children/staff/volunteers.
  • Participating children must never interfere another child’s personal belongings.
  • Participating children must treat summer all equipment, supplies, and facilities properly and with care.
  • In the event of a forecast of very inclement weather we reserve the right to cancel the day’s activities/camp and may not be in a position to reschedule.
  • Participating children shall refrain from rude language and conduct.
  • Participating children must follow all rules and guidelines as outlined by staff / volunteers.
  • CDA will not be held responsible for any loss or damage to personal items on camp.
  • Participating children shall remain with their groups at all times while participating in a Smiley Club event/activity.
  • Mobile phones are not recommended at activities. If the presence of a mobile phone is causing disruption or harm to other children it will be confiscated and returned to parents on collection.
  • We recommend that participating children leave any valuables at home.
